Recruitment privacy notice

Who we are

Adakings Franchise Corporation Ltd. (“Adakings”), TF Hostel, Haatso-Atomic Rd., decides how and why your recruitment information is used. This notice covers the job application form on this website, your application page, and online interviews.

What we collect

• What you give us when you apply: your name, phone number, email (if you give one), area of residence, preferred employment type, introduction, and CV (if you upload one).
• Your answers to an online interview, if we invite you to one.
• Your responses to interview invitations and offers, and messages you send us through your application page.
• Our hiring team's assessment of your application: scores against set criteria, practical assessment results, notes and decisions.
• Security records: when you signed in, and one-time codes (stored only in a scrambled form). To prevent abuse we count requests per device, using a scrambled form of the connection address, not the address itself.

We don't record video or audio, use your camera, time you, or track you while you complete an online interview, and the application page and online interview don't use advertising or analytics tracking.

Why we use it

• To consider you for the role you applied for, and to contact you about your application.
• To run interviews and practical assessments fairly, scoring every applicant for a role against the same criteria.
• To keep a record of decisions, so we can answer questions about them and meet our legal obligations.

Scores help our hiring team compare evidence consistently. They never decide on their own: a person reviews your answers and makes every decision about your application.

Who can see it

Only members of our hiring team who need it for recruitment. Internal notes and scores are never shown to other applicants, and aren't shown on your application page.

Service providers that run our website and messages process your information on our behalf and only as we instruct: our website host, our content and records platform, our email provider and our SMS provider. Some of them store data outside Ghana. We don't sell your information.

How we protect it

• Your application page and online interview open only with a one-time code sent to your phone (or email).
• Uploaded CVs are encrypted before they're stored.
• Only authorised hiring staff can open applications, and important actions are recorded.
• Text messages and emails we send you say that there's an update; the details stay behind sign-in.

How long we keep it

While your application is open (including while it's on hold), we keep it. Once it closes because it was unsuccessful, you withdrew it, or you declined an offer, we keep it (including any online interview, CV and messages) for 12 months, so we can answer questions about the decision. We then delete it at our next monthly clean-up, so within 13 months of it closing. We keep only a record that an application was deleted (the date, role and final status), without your name or contact details. If you're hired, the relevant parts become part of your employment records. You can ask us to delete your application sooner (see below).

Your rights

Under Ghana's Data Protection Act, 2012 (Act 843), you can ask to see the information we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. To make a request, send us a message from your application page or email careers@adakings.com. We may need to confirm your identity first. If you're not satisfied with our response, you can complain to Ghana's Data Protection Commission.

Changes

We'll update this notice if how we handle recruitment information changes, and show the date of the latest version at the top.
